At True Form USA, we pride ourselves on delivering professional, NIST-traceable calibration and verification services. Because our work is service-based and every job is unique, this policy explains how fees, refunds, repairs, and disputes are managed.
1. Service Fees
- Calibration fees cover service labor, including inspection, testing, verification, adjustments (where possible), and documentation.
- Certificates of Calibration include “As Found” and “As Left” conditions when applicable.
2. Refund Policy
Our goal is always to provide fair, transparent service:
- If an instrument cannot be calibrated and fails testing, True Form USA will issue a refund for the calibration fee (excluding any shipping or handling costs).
- If repairs are required, we will attempt adjustments or part replacements where possible.
- If repair costs are estimated to exceed 50% of the replacement value of the instrument, we will notify the customer before proceeding.
- We generally do not recommend repairs above this threshold, but we understand that certain instruments are unique and difficult to replace.
- In these cases, the customer will decide whether to proceed, replace, or request a refund for services not performed.
- Refunds are also issued in cases of billing error or duplicate payment.
Note: To avoid unnecessary refunds or disputes, customers are required to contact True Form USA before submitting payment. This ensures we can confirm your specifications, verify that we can perform the calibration, and align on turnaround time before work begins.
3. Re-Checks & Disputes
- Customers may request a re-check if they believe calibration results are inaccurate.
- Re-checks are billed separately unless a documented error by True Form USA is confirmed.
- Disputes must be raised within 14 business days of receiving results.
4. Cancellation Policy
- Orders canceled before instruments are shipped may be eligible for a full refund.
- Orders canceled after instruments are received will be billed a minimum handling and evaluation fee.
5. Shipping & Risk of Loss
Customers are responsible for:
- All inbound and outbound shipping costs.
- Insuring instruments for full replacement value during transit.
True Form USA is not responsible for items lost, damaged, or delayed in transit.
6. Turnaround Times
- We strive to provide accurate turnaround estimates, but timelines are not guaranteed.
- Delays may occur due to service demand, instrument condition, or complexity.
7. Policy Updates
True Form USA may update this Refund & Service Policy at any time. Updates will be posted with a revised effective date.
